Job Summary:
Under general supervision of the Director of Athletics and Director of Global & Outdoor Education, provides assistance and support to the athletic and global & outdoor education department as a whole, including office management, managing calendars, travel and risk management documentation, day-to-day duties within the department, and assistance with major events.
Specific Responsibilities:
Athletics Responsibilities: 50%
- Supports and maintains all key functions on UPrep athletics website, including, but not limited to, important dates, rosters, photos, results, registration information and more
- Ensures game schedules, scores, referees, rosters, early dismissals, and transportation are all scheduled and accurate
- Helps maintains, physical forms, eligibility rosters, and tracking of required paperwork
- Helps maintain coach paperwork required WIAA clinics and First Aid/CPR certificates; verifies online required coaches clinics through MYWIAA
- Assists in scheduling of referees in Arbiter for all home games and matches
- Notifies parks department, assignors of any game day cancellations, entering the cancellation on the website and alerting appropriate constituents
- Orders and prints awards for season ending parties
- Is responsible for team photo schedule and senior photo gifts
- Is responsible for State Tournament submission of WIAA rosters, photos, supervisor lists; helps coordinate team lodging
- Assists with social media platforms
- Assists with game day operations
- Performs other duties as assigned
Global & Outdoor Education responsibilities: 50%
- Supports the coordination and execution of global and outdoor programs: international and domestic travel, overnight outdoor programs, and UPrep summer camp, including, but not limited to:
- Collects and maintains required paperwork for student travel and risk management protocols
- Helps organize and coordinate trip leader workshops, trainings, and team meetings
- Responsible for tracking wilderness first aid/responder and outdoor risk management certifications
- Assists with international, domestic, and local overnight travel arrangements, bookings, and reservations
- Organizes and manages program registration using Veracross CRM database
- Schedules and organizes on-campus family and student events and celebration dinners
- Order supplies and maintain inventory of global and outdoor program gear and equipment
- Serve as initial contact for family FAQs regarding global and outdoor programs
- Performs other duties as assigned
General Responsibilities:
- Attends all meetings and trainings as required by the league and/or Athletic Director
- Is familiar with and complies with all policies and regulations as put forth in the schools documents
- Since safety and security are everyone's responsibility, takes all necessary and reasonable precautions to protect students, faculty, staff, equipment, materials and facilities
- Performs other duties as assigned
Required Education & Experience:
- Bachelor's degree in related field from an accredited four-year college or university
- Demonstrated competence and experience in administrative office work
- Experience working with students and families
- Must possess or be willing to obtain valid First Aid/CPR card
Required Knowledge, Skills & Abilities:
- Detailed-oriented, highly organized, can work independently, manage multiple tasks
- Computer and data base skill set, google docs, social media
- Knowledge of co-curricular activities and understanding of the value they bring to life of the school
- Passionate about athletics, global and outdoor education
- Efficient, well organized, and able to handle a variety of duties simultaneously
- Flexibility and adaptability to meet the needs of the students and program
- Professional manner, discretion, and appearance
- Sense of humor, enthusiasm, and ability to hold students and oneself to high expectations
